The tool can only be completed by a nominated person in a setting. The data from the audit tool is not available to the general public. However, if you are from a setting you can create a new record. Once the setting has a record you can access that record at any time and update information on the setting and the employees and volunteers.

- Who can see my setting information?
Data from the audit tool is not available to the general public.
Your setting can:
- view and amend your own setting record
Local authorities can:
- see all setting records for the settings in their area
- produce local reports from data from settings in their area.
The Teaching Agency can:
- see all setting records
- produce reports at a local, regional and national level.
National organisations: (such as Ofsted or NCMA):
- Do not have access to setting records but are able to ask us to produce regional and national reports. These reports will be of aggregated data and not identifiable individual setting or practitioner records.
- Those entering the information (managers or employers) must gain consent of all employees and volunteers for their information to be shared with other organisations in the way described above.

- How can I be sure the information is protected and safe?
Any personal information you give to us will always be processed in accordance with the UK Data Protection Act 1998. We will only use the personal information you provide for the purposes you have agreed to, or for other lawful disclosed purposes. Equality monitoring information will not be published or shared with other organisations other than in an anonymised form (e.g. statistics).
Those entering the information (managers/employers) must gain consent of all employees and volunteers for their information to be shared with other organisations in the way described above.

- What information will I have to enter?
The nominated person is required to input the following data:
- Setting information - contact details, setting type (e.g. private, voluntary, independent, maintained) provision (eg full daycare, sessional), number of sessions per day and number of rooms.

Employee details - qualifications they have completed, additional courses such as first aid, maths and English, profile information such as gender, disability, date of birth, ethnicity and nationality.

- How often will I have to do an audit?
Once staff information has been put into the audit tool, it is saved and stored securely. This means settings only have to amend or update staff records when changes occur such as whenever an employee:
- joins the settings
- leaves the setting, or
- gains an additional qualification.
We also recommend updates should be done routinely every quarter or pre-inspection.

By completing the audit tool you are able to:
- Check your setting meets minimum staff ratio requirements.
- Monitor training needs across the setting.
- Record workforce development in the setting.
- Set targets for increasing staff qualifications according to government targets.
- Respond to information requests from other agencies - such as local authorities.
- Produce a report for Ofsted inspections.
