Q I am required to enter a term of office end date for Members who do not have an end date.

A We are in the process of removing the requirement to provide a term of office end date for Members. In the interim academies and multi-academy trusts should enter a date of 01/01/2025 to enable the record to be saved.

Q A governor is refusing to provide the information required to update their governor record.

A The duty to provide information is on the board of governors. It is for the board of governors to decide what, if any action to take.

Q Do we need to provide information about Associate Governors?

A No information is not required for Associate Governors.

Q What information do we need to provide for corporate members?

A If you have a corporate member please provide information about the person who acts on behalf of the corporate member.

How can I get access to EduBase?

EduBase logins are managed by the department’s identity and access management system Secure Access.

Department for Education employees can find out how to access EduBase by searching for EduBase on the intranet.

School and Local Authority users should contact the Secure Access approver within their organisation to request access. If don’t know who your approver is please raise a service request. http://www.education.gov.uk/researchandstatistics/datatdatam/secureaccess/service-request-form

Stakeholders including other government departments requiring access should contact the EduBase team at cmt.edubase@education.gsi.gov.uk to request access. We are unable to provide access for third party organisations, additional data downloads have been made available via the EduBase homepage.

The trust/sponsor information for an academy is incorrect/missing

Trust and sponsor fields are updated by the end of the 3rd week of the month in which the academy has opened or the trust/sponsor details have changed.

If after this date the information is still not showing or you believe that the information shown is incorrect then please contact our Service Desk.

Where can I access pupil numbers by age and gender?

The numbers of pupils by age and gender is no longer available from EduBase. This data is published in the underlying data section (SFR16_2016_Schools_Pupils_UD.csv) of the “Schools, pupils and their characteristics” statistical first release.

Why are some academies not linked to a sponsor?

All sponsored academies will be linked to a sponsor, but only some converters are linked to sponsors. These converter academies are not ‘sponsored’, but have joined trusts that are led by academy sponsors.

Sponsor information for newly opened academies is updated by the end of the 3rd week of the month. If after this date the information is still not showing or you believe that the information shown is incorrect then please contact our Service Desk.

Why is a converter academy linked to a sponsor?

Some converters are linked to a sponsor, but are not in themselves ‘sponsored’. These converter academies will have joined trusts that are led by academy sponsors.

How do I search for an Establishment?

You can search for an establishment using one of the three options that EduBase gives:

1. The quick search.
This is the basic search that appears when you visit EduBase. It allows you to quickly search for an establishment if you know its identifiers or its basic information.

2. The advanced search.
This is accessible from the link on the left hand side menu of the home page.
The advanced search gives you the option to filter the main fields of EduBase with a few clicks.

3. The filters functionality (accessible only to users with a login).
This functionality is accessible by the ‘Filters and Extract/Filters’ link on the left hand side menu. This allows you to perform a detailed search of EduBase.

I am having a problem, what should I do?

There may be an answer already in the help documentation. On most pages there is a help box at the top of the page. Click on it to expand.

There are a number of FAQ’s which may also assist in any queries you have.

In addition, under the help page (accessible from the left hand side menu) you can download the user guide and step-by-step guides for some of the system features (if available to you).

If all else fails please complete a service request form by selecting the “Service Request/Feedback” link from the left hand menu.

The Establishment I am looking for is not on EduBase!

EduBase holds details of establishments which provide compulsory, higher and further education. It does not hold details of early years providers or independent training providers.

Sometimes, the establishment is on EduBase, but your search is not picking it up.

If an establishment is closed it will not show up on the quick search. Please use the ‘Advanced search’ page and select ‘Closed’ and ‘Proposed to Open’.

Here are some ways to improve the chances of a successful search:

Try filling in less fields, for instance, leave the locality blank when searching by school name, just choose the Local Authority.

Try using just part of an Establishment’s name when searching, their recorded name may be slightly different to their commonly used name.

Use the first half of the establishment’s postcode.

Search by DfE (LA/Establishment) number or URN at the bottom of the ‘Advanced Search’ page.
